# Set Up Teams, Roles & Seats

> Organize people into teams, choose what each role sees in Settings, and decide who Attention records.

Every person in Attention belongs to one team, has one role and has one seat type:

* The **team** groups people by function or territory. It sets the recorder rules for internal meetings, and scorecard templates and field configurations apply by team.
* The **role** decides what the person sees in Settings.
* The **seat type** decides whether the Attention notetaker records their meetings.

To add people to Attention, see [Invite and Manage Members](https://docs.attention.com/workspace-setup/inviting-users.md).

## Teams

To open the teams list, click your name at the bottom of the sidebar, then **Settings**. Under **Member Management**, click **Teams**.

The list shows every team with its **Managers and admins** and its **Members**. Click the arrow next to a team to show its subteams, or use **Search teams** to find one.

### Create a team

1. Click **Add new team**.
2. Enter a **Team name**.
3. To make it a subteam, choose its **Parent team**. Leave it empty for a top-level team.
4. Click **Create team**.

The new team's page opens, ready for members. Add the team to your [scorecard templates](https://docs.attention.com/workspace-setup/create-scorecards.md) and field configurations so its calls are covered.

### Change the hierarchy

1. Click **Edit hierarchy**.
2. Drag a team onto another team to make it a subteam. Drag it onto **Drag here to create root team** to make it a top-level team. Its subteams move with it.
3. Click **Save edits**.

Teams can be nested up to six levels deep. To leave without saving, click **Cancel editing**.

You can also change one team's parent from its page: open the team, choose the **Settings** tab, pick a new **Parent team** and click **Save settings**.

### Rename or archive a team

Hover a team in the list and click the **⋯** menu:

* **Edit** opens **Change team**. Enter the new **Name** and click **Change**.
* **Archive team** archives it after you confirm. A team can be archived once it has no subteams and no members, so move them to other teams first.

> [!WARNING]
>
> Archiving a team can't be undone.

### Add or move members

Each person belongs to one team at a time. Open a team by clicking its name; the **Members** tab lists its members with their **Email** and **Role**.

To add someone:

1. Click **Add member**.
2. Search for the person under **Find a member** and click their name.

They move from their current team into this one.

To move a member to a different team:

1. Click the **⋮** menu on their row.
2. Click **Move to another team** and choose the team.

A confirmation appears with an **Undo** button for 20 seconds, in case you picked the wrong team. **Edit user settings** in the same menu opens the person on the **Members** page.

### Recorder settings

Each team has its own rules for internal meetings, the ones where everyone is from your organization. Open the team, choose the **Settings** tab, and find **Recorder**:

* **Join internal calls**: on by default. Attention records meetings where all participants are from your organization.
* **Skip 1:1 internal meetings**: off by default. When it is on, Attention skips one-on-one meetings between teammates. It only applies while **Join internal calls** is on.

Each switch saves as soon as you click it. For how these combine with each person's own settings, see [Set When Attention Joins Your Meetings](https://docs.attention.com/core-features/auto-join-rules.md).

## Roles

A new organization has three roles:

* **Admin** sees the whole Settings menu. Besides their own settings, that includes **Configuration** (such as **CRM Settings**, **Call Labels**, **Email Templates** and **Scorecard Templates**), **Organization** (such as **Organization Settings**) and **Member Management** (**Members** and **Teams**).
* **Manager** sees their own settings under their name, such as **Personal Settings**, and **Email Templates**. Each team's managers appear in the **Managers and admins** column of the teams list.
* **Sales Representative** sees the same Settings menu as a Manager.

To change someone's role, choose a new one in the **Role** column, on the **Members** page or on the team's **Members** tab. The change saves right away.

When you change your own role from Admin to another role, Attention asks you to confirm with **Are you sure you want to change your role?**. Once you click **Change role**, another Admin has to give you the Admin role back.

## Seats

There are two seat types:

* **Recording**: the person connects their calendar and the Attention notetaker joins their meetings, following the [auto-join rules](https://docs.attention.com/core-features/auto-join-rules.md).
* **Listener**: the person views, searches and works with recordings that are already in Attention. The notetaker doesn't join their meetings.

You choose a seat type when you invite someone. To change it later, go to **Settings → Members** and pick a new value in the **Seat type** column. The change saves right away. Changing a person from **Recording** to **Listener** disconnects their calendar.
