# Send Follow‑Up Emails with Templates

> Build email templates with AI blocks and turn any call into a follow-up email you can send from Gmail.

An email template mixes your own text with AI blocks. When you use it on a call, Attention fills each AI block with text written from that call, so you get a follow-up email ready to send.

## 1. Open **Email Templates**

Click your name at the bottom of the sidebar, then **Settings**, then **Email Templates**.

The list shows every template you can use. Under each name you see where the template lives: **Personal**, the names of its teams, or **Organization**.

## 2. Choose where a template lives

Every template has a scope that decides who can use it:

| Scope | Who uses it | Who creates it |
| - | - | - |
| **Personal (only you)** | You | Everyone |
| **Team (select teams below)** | Members of the teams you pick, and admins | Admins, for any team. Managers, for their own team |
| **Organization-wide** | Everyone in your organization | Admins |

The person who created a template edits it, and admins can edit any template. Admins can also change the scope of any template, and managers can change the scope of the templates they created (see step 7).

## 3. Create a template

1. Click **Add template**.
2. Enter a **Name**.
3. Under **Scope**, pick where the template lives. **Personal (only you)** is selected by default. For **Team (select teams below)**, choose one or more teams under **Teams**.
4. Click **Create**. The template opens in the editor.

## 4. Write the template

The editor has a **Title** and a **Content** area. Content is made of two kinds of text:

* **Plain text** goes into the email exactly as you write it. Use it for greetings, a sign-off or links you always include.
* **AI blocks** hold a prompt. When you use the template on a call, Attention replaces each block with text written from that call.

To add an AI block:

1. Click on an empty line, or on a line you want to turn into a prompt.
2. Click **Insert AI**. The line turns into a gray AI block.
3. Write your prompt in the block: what the email should cover, the tone and the length.

Click **Insert AI** again to turn a block back into plain text. To keep typing plain text below a block, press **Enter** three times at the end of it.

To add a link, select some plain text, click the link icon that appears, paste the URL and press **Enter**.

When the template has at least one AI block and every block has a prompt, click **Save**.

## 5. Use a template on a call

1. Go to **Conversations → All Calls** and open a call.
2. Click the **Email** tab.
3. Under **Template**, pick a template from the list. You can search it by name.

Attention writes the email from the call and shows it under **Email Preview**. You can edit the text there before you send it.

To generate the email again, or with another template, pick a template from the list again. **Edit templates**, above the list, takes you to **Email Templates**.

## 6. Send the email

Use the buttons just above the email:

* **Create Gmail Draft** saves the email as a draft in your Gmail and opens it in a new tab. Add the recipients and a subject, then send it.
* **Share to Gmail** opens a new Gmail message in a new tab with the email in the body.
* **Copy To Clipboard** copies the email so you can paste it anywhere.

You see one of the two Gmail buttons. A new account shows **Share to Gmail**, because each person links their own Gmail. Once you link Gmail in your [personal settings](https://docs.attention.com/core-features/personal-settings.md) and grant the permissions Attention asks for, the button reads **Create Gmail Draft**.

## 7. Change a template's scope or delete it

In **Email Templates**, open the **⋯** menu next to a template:

* **Change scope**: pick the new scope in the **Change scope** dialog and click **Save**.
* **Delete**: click **Delete** again in the **Delete email template** dialog.

> [!WARNING]
>
> Deleting a template can't be undone.

>
> Your Gmail connection doesn't include permission to create drafts. In your [personal settings](https://docs.attention.com/core-features/personal-settings.md), unlink Gmail, link it again and grant every permission Attention asks for. The button then reads **Create Gmail Draft**.
